Part-time Clinic Administrator

POSITION: Clinic Administrator
LOCATION: ALPHA Midtown (near Yonge & Eglinton) AND ALPHA East (near Gerrard & Broadview)
SCHEDULE: Part-time (flexible schedule)
DESCRIPTION:
An exciting opportunity to join an incredible team as Clinic Administrator for an established multidisciplinary physiotherapy and rehab clinic with two locations! The successful candidate will be someone who is fluent in English and is able to effectively communicate over the phone, email and in person with patients. Professional, reliable and attention to detail is of great importance and the successful candidate needs to be able to work in a fast paced, team environment. Experience with electronic medical records, Microsoft Office, private insurance billing, and knowledge of physiotherapy and rehabilitation is an asset. The position is permanent and full-time.
DUTIES INCLUDE (but are not limited to):
- Performing reception duties including greeting patients, answering phone calls/inquiries, emails, voicemails, and patient bookings, etc.
- Must be able to use an electronic medical system for scheduling/confirming appointments, billing and patient record management (Jane App).
- Ensure good clinic flow by managing patients and practitioners’ schedules
- Direct billing to private insurance providers including claim submission and reconciliation
- Managing referrals, mail and faxing
- Must be able to use point of sale machine to process payments
- Answering patient inquiries, emails and providing assistance to ensure a positive clinic experience on every visit
PREREQUSITIES INCLUDE:
- Experience with Jane appointment booking software is an asset
- Completion of Office Administration, Medical program and/or Certified Medical Secretary designation is an asset.
- Previous experience in a rehab clinic, medical office, hospitality and/or retail (or other service industry) is an asset
- Knowledge of medical rehab terminology is an asset
- Computer proficiency including Microsoft Office and email required; experience with electronic charting systems is an asset
- Experience with payment processing required; experience with private insurance is an asset
- Effective communication skills and excellent interpersonal skills, both oral and written
- Exceptional phone and email manner
- Ability to problem solve, multitask, prioritize and cope with frequent interruptions and deadlines in a calm manner
- Strong organizational and time management skills
- Exceptional attention to detail and ability to complete tasks with high accuracy
- Ability to work independently with minimal supervision in a team atmosphere
- Ability to exercise good judgment and initiative
- Ability to ensure professionalism in all communications with existing and potential patients and deliver superior service during each interaction.
- Must be able to work at both clinic locations (40 Holly St. and 14 St. Matthews Rd.)
- Prior experience with social media management is an asset
This is not a remote position. The candidate must be available to work in-person.

- Implement treatment with an emphasis on neurological and manual therapy; collaborating with other therapists; requesting, writing and sharing reports; monitoring progress and adjusting treatment, as needed
- Functioning within current evidence-based best practice
SKILL REQUIREMENTS:
- Strong interpersonal and communication skills
- Works well as part of a team with other health care practitioners

- Minimum 1 year of independent practice is required

We are seeking a skilled and enthusiastic part-time Athletic Therapist to join our team! As an Athletic Therapist at ALPHA Health Services, you will play a crucial role in preventing, assessing, and treating musculoskeletal injuries in our diverse clientele. Your expertise will contribute to enhancing their athletic performance, promoting quick recovery, and ensuring their overall well-being.
ROLE RESPONSIBILITIES:
- Educate clients on injury prevention strategies, proper body mechanics, and self-care techniques.
- Provide emergency care and first aid during sporting events or training sessions for high school athletes.
- Act as an athletic therapist for high school sports games and tournaments.
- Maintain accurate and up-to-date client records, progress notes, and treatment plans.
- Stay informed about the latest developments in sports medicine and incorporate evidence-based practices into
your treatments. - Must be available for scheduled games throughout the year.
QUALIFICATIONS:
- Bachelor’s degree or higher in Athletic Therapy or a related field.
- Certification as an Athletic Therapist from a recognized certifying body.
- Current CPR and First Aid certifications.
- Experience working with athletes and individuals of various ages and fitness levels.
- Strong knowledge of anatomy, biomechanics, and sports injuries.
- Excellent interpersonal and communication skills to collaborate effectively with clients and a multidisciplinary team.
- Ability to work independently, make informed decisions, and adapt treatment plans as needed.
- Proficiency in maintaining accurate and organized client records.
